Here is a list of the main tasks we foresee so far (order is not relevant):
- Inscriptions (managed by Adermip),
- Hotel reservations and confirmation (managed by Elysées Ouest),
- Rooms, auditoriums, associated infrastructure at University of Social Sciences (managed by the staff of that university),
- Sponsor contacts (all),
- Additional rooms for workshops and tutorials management (IRIT)
- Exhibition organization,
- General Management (including rentals, invitations and contact with the prog. committee chairperson) (IRIT)
- Printing of proceedings (Univ. Toulouse Le Mirail),
- Air fares negociations and advertising (IRIT),
- Breaks and lunches organization (univ. Social Sciences),
- Preparation of WEB site, database for inscriptions, information on Toulouse (IRIT),
- Various mailings (besides those carried out by ACL),
- Inquiries and assistance to participants by e-mail, visas,
- Student residence reservations (Univ. Social Sciences),
- Edition of posters and flyers, and various advertising,
- Preparation of conference documentation (All, students),
- Organization of social events and banquet (IRIT).
The coordination task includes managing and evaluating the progress each of the other tasks, adding some man-power where necessary.
Some tasks will have to start as early as possible, such as room reservation and sponsorship search.
